Create an employee or contractor expense report

Record business expenses, evidence status, payment ownership and foreign-currency conversion, then produce a landscape A4 claim and settlement PDF in a browser worker.

For a reliable result

  1. Enter the report period, organisation, claimant and project or trip details.
  2. Add each expense with its business purpose, source amount, conversion rate, payer, payment method and supporting-document status.
  3. Review company-paid costs, reimbursement claimed, advance settlement and approval names before downloading the validated PDF.

What changes

The browser creates a new PDF without uploading the entries or logo. Foreign amounts are rounded once to the report currency's minor unit and source documents are not embedded.

Check the download

Match every entry to the original invoice or receipt and payment evidence, verify conversion rates, and have the appropriate reviewer decide policy, tax and reimbursement treatment.

Know before processing

This is an internal expense summary, not a tax invoice, proof of payment, GST-credit decision or income-tax deductibility decision. A cash flag is only a review prompt because statutory conditions, payee/day aggregation and exceptions may apply.

Quick answers

Does the expense report let me claim GST input tax credit?
No. It only records whether you say a supporting tax invoice is available and shows the tax amount for review. GST input-tax credit depends on prescribed documents and the other applicable conditions; the internal expense report does not replace them.
Does a cash-review flag mean the expense is disallowed?
No. The flag only identifies an INR cash line above ₹10,000 for human review. It does not aggregate payments by payee and day or apply statutory exceptions. The relevant law depends on the tax year: the Income-tax Act, 2025 applies from 1 April 2026, while earlier periods remain under the earlier Act. Check the official sources below; the generator never decides deductibility.

Separate expense totals, reimbursement claims and advances

Record expenses with payer information and document-status markers. The tool separates company-paid costs from employee claims, converts amounts using your rates and subtracts an advance from reimbursement claimed.

The report records a claim, not approval or payment. Evidence markers are your declarations; source documents are not uploaded or embedded. Retain invoices, receipts, payment evidence and review records alongside the PDF.

Classify each expense before reviewing the settlement

Choose an approach for your document
Your situationRecommended approach
The employee paid and wants reimbursementChoose Employee / claimant under Paid by and check Claim reimbursement only when the line belongs in the request. Eligibility still needs review outside the tool.
The company already paid the expenseChoose Company. The line remains in total expenses but is excluded from reimbursement, preventing the entered amount from being claimed again.
The receipt uses another currencyEnter the source amount and the number of report-currency units for one source unit. Rates are supplied manually, not fetched from a bank or exchange-rate service.
An advance was providedEnter it once in the report currency. The tool subtracts it from employee-paid expenses marked for reimbursement, not from the entire expense total.

Check an INR 500 claim after an INR 200 advance

The expense-report-generator-example.json file is a synthetic manual-entry reference, not an import file. No real receipt, payment or employee claim is represented.

  1. Set Report number to ER-EXAMPLE-001 and the report date and both period dates to 2026-09-07. Choose INR and set Project / trip to Example client visit.
  2. Enter Example Studio and its sample address, Example Worker as claimant, EX-001 as employee code and Example Reviewer as Prepared / claimed by.
  3. Add one Travel line dated 2026-09-07: payee Example Transit, purpose Example client visit, INR 500, rate 1 and Card payment. Choose Employee / claimant and check Claim reimbursement.
  4. Choose Missing receipt status, leave tax-invoice availability unchecked and Tax shown at 0. Enter the sample's fictional note, leave approvals empty and set Advance received to 200.
  5. Select Create expense report PDF. Compare the total expense, reimbursement claim, missing-receipt count and amount due with the downloaded report.

Expected result. The report records INR 500 in expenses and reimbursement claimed, one missing receipt and INR 300 due to the claimant after the INR 200 advance. Missing evidence does not automatically remove the claim; the reviewer must decide how to handle it.

Check the downloaded result

  • Reconcile each line with its original amount, currency, payee and purpose. Duplicate creates another full expense row, so check that copied lines are genuine separate costs.
  • Compare total expenses with reimbursement claimed and company-paid or non-claimed amounts. These answer different questions and should not be treated as interchangeable totals.
  • Verify every conversion rate, especially after changing the report currency. Same-currency entries require a rate of 1; other existing rates are not automatically recalculated.
  • Inspect receipt markers, tax references, notes and all PDF pages. Table text is bounded to a few wrapped lines and may be shortened, so keep complete evidence separately.

Troubleshooting

The claim is lower than total expenses

Company-paid costs and employee-paid lines without Claim reimbursement remain in total expenses but do not enter the reimbursement request.

Try this: Review payer and claim settings against the real payments. When changing Company back to Employee / claimant, check the claim switch again instead of assuming it was restored.

The settlement says Balance to return

The entered advance is greater than the employee-paid reimbursement claimed.

Try this: Check that the advance was entered once and in the report currency. Reconcile the difference through the organisation's actual approval and settlement process.

A converted amount looks reversed or too large

The field expects report-currency units per one source-currency unit. Entering the inverse rate changes the calculation substantially.

Try this: Read the field label and verify the rate with your supporting record. Conversion is rounded to the report currency's minor unit, so compare line-level results before summing.

A tax-invoice reference or tax amount is rejected

A checked supporting-invoice marker requires a reference. Tax shown must be non-negative and cannot exceed the entered expense amount.

Try this: Use the actual invoice reference and tax component from the document. Do not increase the expense merely to pass a tax check or treat the marker as an input-tax-credit decision.

Limits and compatibility

Review flags, not tax decisions
The cash warning is a fixed per-line INR heuristic. It does not aggregate all payments to a payee by date or decide current-law treatment and exceptions. Reported tax is informational, not an automatic credit or deductibility calculation.
Local records
Up to 60 expenses can cover a period of at most 367 calendar days. There is no saved-draft, JSON import, receipt attachment or reimbursement transfer. The optional logo is not a supporting-document upload.

Your files and form values are processed on this device. Downloaded copies remain wherever you save them. See how to check local processing and our privacy policy for site data and optional services.

Common questions

Should I add the tax again on top of Amount?
The expense Amount is the recorded total. Tax shown identifies a component within it; the calculator reports that tax separately without adding it to the expense again.
Does Attached / retained embed a receipt in the PDF?
No. It records your evidence status only. Keep the actual document separately, and have the reviewer check it along with the report.
