Create an employee or contractor timesheet

Record daily in and out times, breaks, tasks, locations and billable status, then generate a landscape A4 work-hours PDF in a browser worker.

For a reliable result

  1. Enter the timesheet period, organisation, worker and assignment details.
  2. Add one row per date, choose worked or non-working status, and review the regular, overtime and billable-hour calculations.
  3. Confirm the preparation and approval names before downloading the validated landscape PDF.

What changes

The browser creates a new PDF without uploading the timesheet or logo. The optional rate produces a billing estimate only and is not a payroll calculation.

Check the download

Confirm each date, in and out time, overnight shift, break, task, billable status and approval against the underlying attendance and contract records.

Know before processing

This business timesheet is not a statutory attendance register, muster roll, wage slip or payroll record. The regular-hours threshold only separates columns; overtime eligibility and pay must be determined under the applicable law and contract.

Quick answers

Does this replace an attendance register or wage record?
No. It is a business work-hours summary, not a statutory attendance register, muster roll, wage slip or payroll record. Keep and reconcile the records required for the establishment and worker category that apply to you.
Does the overtime column decide overtime pay?
No. It separates hours above the daily threshold you enter. Eligibility, averaging, exemptions and the applicable overtime rate depend on law, contract and worker classification, so the billing estimate uses the flat optional rate and makes no wage entitlement claim.

Turn daily time entries into a reviewed work-hours record

Record one row per date with in/out times, a break, work description and billable status. The tool calculates durations and creates a landscape A4 PDF with summaries and preparation or approval lines.

Entries do not verify attendance, approval or wages. Regular hours per day only divides worked time into columns. The optional billing estimate excludes overtime multipliers, taxes and payroll deductions.

You need a row for each date in a periodSet the period first and use Fill period dates. Review every created row: dates are filled, but attendance and day types are not verified automatically.
A shift ends after midnightEnter the start date and times. Clock-out earlier than clock-in means the following day. Equal times are invalid, not a 24-hour shift.
The day is leave, a holiday or a week offChoose the matching Day type. Those rows contribute no worked or billable hours; they do not calculate paid leave or holiday entitlement.
You want an approximate client chargeSet the optional hourly rate and currency, then check Billable only for relevant worked rows. Review the estimate against the actual agreement outside this tool.

Check an eight-hour day and a simple billing estimate

The timesheet-example.json sample lists synthetic values for manual entry; this tool has no JSON import control. The example is arithmetic practice, not a real attendance or payroll record.

  1. Set Timesheet number to TS-EXAMPLE-001 and both period dates to 2026-09-07. Enter Example Studio as Organisation name.
  2. Enter Worker name Example Worker, Employee / contractor code EX-001 and Designation / role Developer. Leave optional assignment and logo fields empty.
  3. Set Regular hours per day to 8, Optional hourly billing rate to 500 and Billing currency to INR.
  4. Use one Worked row dated 2026-09-07: Clock in 09:00, Clock out 18:00, Break 60 minutes, Task Documentation review, and Billable checked. Set Work location to Example office and Notes to Synthetic example only.
  5. Set Prepared by to Example Reviewer, leave Approved by empty and select Create timesheet PDF. Compare the summary and downloaded row with the calculation below.

Expected result. Nine elapsed hours minus a one-hour break gives 8:00 worked, 8:00 regular, 0:00 overtime and 8:00 billable. At INR 500 per hour, the billing estimate is INR 4,000.00. The blank approval field does not represent an approved record.

Check the downloaded result

  • Match each date, time, break and task with the underlying work record. One row per date means separate shifts or billing rates cannot be represented independently on that same date.
  • Interpret durations as hours:minutes. For example, 7:30 means seven and a half hours, not 7.30 decimal hours.
  • Check Billable separately from worked time. Unchecking it removes that row from the estimate, not from total worked hours; non-worked day types contribute neither.
  • Inspect every PDF page and preparation line. Table descriptions stop after three wrapped lines with an ellipsis; full long text is not guaranteed. Keep complete source notes separately. The live preview shows only six entries.

Troubleshooting

The calculated shift is unexpectedly long

Clock-out earlier than clock-in is interpreted as overnight, even if the earlier time was entered accidentally.

Try this: Check both times and the intended start date. The calculation does not apply timezone or daylight-saving corrections; use a suitable record when those differences affect the shift.

The break or date is rejected

A worked row needs a whole-number break shorter than its shift, a unique date inside the period and different valid in/out times.

Try this: Follow the field error and compare the entry with your record. Keep one period within 62 calendar days and use no more than 62 daily rows.

Overtime appears but the amount has no premium

The daily threshold only divides columns. Billable worked minutes use the same optional hourly rate regardless of the overtime column.

Try this: Review overtime eligibility and pricing using the applicable workplace process or agreement. Do not use this estimate as an automatic wage or overtime-pay calculation.

PDF creation rejects a name or description

The current PDF text path supports standard English letters, numbers and limited punctuation rather than full multilingual text.

Try this: Use an acceptable supported transcription only when appropriate, or choose a document workflow that preserves the required script. Never silently alter an important person's name to pass validation.

Limits and compatibility

Record and approval
The PDF is a business work summary, not a statutory register, wage slip or verified attendance record. Typed preparation and approval names are not authenticated signatures or an approval workflow.
Session and export
Entries and an optional PNG/JPG logo are processed locally. There is no saved-draft, JSON import or payroll integration on this page; retain the generated PDF and source records before leaving the session.

Your files and form values are processed on this device. Downloaded copies remain wherever you save them. See how to check local processing and our privacy policy for site data and optional services.

Common questions

Does Copy previous copy only the times?
No. It also copies the day type, break, billable setting, task and location. Review each copied row; its date and notes remain separate.
Can I charge different rates for individual rows?
Not here. One hourly rate and billing currency apply to the timesheet. Use a separate reviewed billing workflow when rates or pricing rules differ.
