Prepare a professional quotation or estimate

Build a priced proposal with validity, line items, optional GST estimates and terms, then create a validated A4 PDF in a browser worker.

For a reliable result

  1. Choose quotation or estimate, then enter the document dates, supplier and customer.
  2. Add products or services with quantity, rate, discount and an optional GST estimate.
  3. Review the estimated total, terms and validity before downloading the A4 PDF.

What changes

The generator creates a new PDF. A supplier profile is retained only in this browser when you explicitly save it.

Check the download

Confirm scope, prices, validity, applicable classification and tax treatment before sending the document to a customer.

Know before processing

A quotation or estimate is not a tax invoice, receipt, GST filing or tax-advice service. GST values are estimates for ordinary domestic cases, and additional charges are excluded from that estimate.

Quick answers

Is this quotation or estimate a GST tax invoice?
No. It is a commercial proposal and is marked as not being a tax invoice. If the supply happens, issue the appropriate invoice using the final transaction details.
How are the optional GST amounts estimated?
For the ordinary domestic case covered here, the browser compares the supplier state with the selected place of supply. A match estimates CGST and SGST or UTGST; a difference estimates IGST. Special supplies and exemptions need separate review.

Prepare a priced proposal that the recipient can check

Use Quotation & Estimate Maker to describe proposed work or goods, quantities, prices, discounts and terms in an A4 PDF. A useful proposal makes the scope and its exclusions understandable, not just the final amount. Check that a recipient can connect each price to a specific deliverable, unit or quantity.

Quotation and Estimate use the same calculation engine. The switch changes the document label and can update an untouched default number; it does not decide whether your offer is binding, guarantee the price or change the treatment of tax. Choose the label and wording appropriate to your own commercial process.

Decide what belongs in the proposal

Choose an approach for your document
Your situationRecommended approach
You are offering a defined quantity of work or goods.Use clear descriptions and matching units such as HRS or NOS. Put assumptions, exclusions and validity in the terms; the total alone cannot communicate the scope.
The scope or quantity is still uncertain.Use Estimate if that matches your process, and explain what may change. The label does not add an uncertainty range or calculate alternative scenarios automatically.
You need to request an advance or confirm an order.Consider the separate proforma workflow for advance and delivery fields, or the buyer-issued purchase order for ordering. This page does not collect payments or send a proposal to anyone.

Check a discounted service proposal of INR 1,850

The quotation-estimate-maker-example.json download contains synthetic manual-entry values. It is a reference sheet, not an import file: this tool has no JSON document import control.

  1. Choose Quotation and enter Q-EXAMPLE-001 as its number, Example documentation project as Subject and REF-EXAMPLE-001 as Reference. Set Issue date to 2026-09-07 and Valid until to 2026-09-30.
  2. Enter supplier Example Studio and customer Example Client, using their addresses from the sample. Choose Karnataka for both states. Leave both GST registered checkboxes off and confirm No GST estimate is shown.
  3. Use one line: Documentation review, quantity 2, unit NOS, rate INR 1,000 and discount 10%. Leave the optional HSN/SAC blank.
  4. Set Additional charge after tax to 100 and Adjustment to -50. Clear Round final amount to nearest INR unit. Copy the short sample notes and terms, keep customer acceptance lines enabled, and leave logo and signature images empty.
  5. Select Create quotation PDF and download it. Compare the document number, dates, parties, line and total with the reference values before trying your own proposal.

Expected result. Two units at INR 1,000 give INR 2,000 gross. The 10% line discount removes INR 200, leaving INR 1,800; adding INR 100 and subtracting INR 50 gives INR 1,850. The GST column shows a dash because the supplier setting is off, not because the tool determined an exemption or a 0% rate.

Check the downloaded result

  • Check the document label, number, issue date and validity. Numbers are entered locally; the tool does not maintain an organisation-wide sequence or stop you reusing a number from another session.
  • Recalculate an individual line and the totals. Line discounts apply before the line's GST estimate; additional charges and the signed adjustment are added afterward, outside that estimate.
  • Open every downloaded page. The live preview shows only the first four items and is simplified. PDF text blocks have bounded lengths and line counts, so a long description, address or term can be shortened with an ellipsis.
  • Review scope, exclusions, acceptance wording and any signature image with the recipient's intended process in mind. Printed acceptance lines do not establish that anyone has agreed, and a signature image is not certificate-backed signing.

Troubleshooting

The GST estimate is absent or uses an unexpected split.

The supplier's registration checkbox controls whether GST is estimated. When enabled, the tool compares the supplier state with the selected place of supply, not simply the customer's address.

Try this: Review those inputs and the chosen line rates. Do not change them merely to force a desired total; obtain the appropriate classification and tax treatment separately for the actual transaction.

The PDF cuts off part of a description or term.

The PDF uses bounded text blocks rather than unlimited document layout. A long entry can exceed its available lines even if the form accepted the characters.

Try this: Read the exported text, shorten it without losing meaning, or use a document editor for a longer proposal. Retain the complete scope and source records separately.

Load saved restores the supplier but not my proposal.

Save profile stores only supplier details in this browser. It is not a saved quotation, and does not retain customer data, items, terms, logo or signature.

Try this: Keep the reviewed PDF and your working information before leaving. Use Clear saved to remove a stored supplier profile, particularly on a shared device.

Limits and compatibility

Calculation scope
The quotation and estimate interface uses INR and supports up to 30 items. GSTIN checks inspect format and state consistency, not live registration. The calculations are a drafting aid, not a tax invoice, tax filing or determination of the correct tax rate.
Local document handling
PDF generation runs in a browser worker. Supplier profiles are saved only on request; complete documents are not automatically stored or synced. PNG/JPG logo and signature images are optional and limited to 2 MB each. The PDF text path does not support full multilingual typography.

Your files and form values are processed on this device. Downloaded copies remain wherever you save them. See how to check local processing and our privacy policy for site data and optional services.

Common questions

Does switching to Estimate change the total?
Not by itself. Both labels use the same entered quantities, discounts and calculation rules. Explain uncertainty through your wording and reviewed figures instead of relying on the label alone.
Can I reopen the exported PDF here to revise it?
This is a form-to-PDF generator, not an existing-PDF importer. While the page remains open, change the form and create a new output; keep the source information for later revisions.
