Choose the business document that matches the event

Reviewed . How we check our guidance

Start with what happened: a proposal, an order, goods moving, an invoice, a payment or a reimbursement claim. These records can refer to the same transaction without being interchangeable. Generating a PDF does not confirm that an agreement, payment, approval or valid tax treatment exists.

Choose between nearby tools

Before agreement or when the buyer places an order

A quotation or estimate describes scope, price and validity. A purchase order records what the buyer is ordering and the delivery and commercial terms. Keep the roles of sender and recipient clear; an order is not a supplier’s invoice.

A preliminary request or the appropriate supply record

A proforma invoice is clearly marked as preliminary, not a tax invoice. The GST invoice tool calculates from entered registration, place-of-supply and rate settings; it does not determine the correct classification or verify registration with an official service.

Goods movement or money received

A delivery challan records a described movement of goods. Check when that document is appropriate and any separate transport obligations using the linked references. A payment or rent receipt acknowledges entered payment details; neither document independently proves the event occurred.

Time worked or expenses to reimburse

A timesheet calculates entered hours and a simple rate-based amount. An expense report separates employee claims, company-paid spending and advances. Neither performs payroll, verifies receipts, transfers money or grants approval.

Keep a proposal, invoice and receipt consistent

This is a recordkeeping sequence, not a rule that every business must issue every document. Use only the documents appropriate to your transaction and requirements.

  1. Record the proposed scope

Check quantities, discount, validity and terms before sending the quotation. Save the agreed version and its reference outside the tool.

  2. Prepare the appropriate invoice

Re-enter and review the actual supply details. Confirm tax treatment separately, and reconcile totals with the agreement instead of copying illustrative sample rates.

  3. Acknowledge an actual payment

After confirming receipt of funds, record the amount, date, payer and payment reference. Distinguish a partial payment from the full invoice total.

The forms do not share a transaction database or import the supplied example JSON. Transfer values deliberately and keep your own issued-document register, supporting evidence and revision history.

Check the output before using it

  • Reopen the PDF and check parties, references, dates, items and arithmetic. Long table descriptions and notes have bounded space and may end with an ellipsis; keep the full supporting record separately.
  • For an expense claim, reconcile reimbursable employee-paid spending with advances. The overall expense total is not necessarily the amount due to the employee.
  • Check document labels and copy markings. A visible signature image is not signer authentication, and format validation of a GSTIN is not verification of an active registration.

Limits and recovery

The total is surprising or a tax split looks wrong
Review quantities, discounts, rates, registration flags and place of supply. Consult the linked official references or an appropriate adviser for the transaction; do not change a flag merely to force a preferred total.
A long description or field is missing from the PDF
Shorten the description without changing its meaning, inspect the regenerated file and retain detailed terms separately. Save important inputs before leaving; most forms do not retain a complete draft automatically.
