Create a purchase order for a supplier

Prepare a buyer-issued order with supplier, billing, delivery, line-item and commercial terms, then generate a validated A4 PDF locally.

For a reliable result

  1. Enter the order number and date, buyer, supplier, billing and delivery details.
  2. Add each product or service with quantity, rate, discount and an optional domestic GST estimate.
  3. Review delivery, payment, MSE and supplier-acceptance terms before downloading the PDF.

What changes

The browser creates a new PDF without uploading the order, logo or signature. A buyer profile is retained only when explicitly saved in this browser.

Check the download

Confirm supplier identity, items, quantities, delivery location, dates, commercial terms, MSE declaration and expected taxes before sending the order for acceptance.

Know before processing

A purchase order is not a supplier tax invoice, proof of payment, GST filing, e-way bill or input-tax-credit document. GST values are estimates, and contract, procurement and tax treatment can require professional review.

Quick answers

Is a purchase order the same as a GST tax invoice?
No. A buyer issues a purchase order to state what it wants to buy and on what terms. The supplier's valid invoice after supply determines the actual GST charged and provides the tax document used for input-tax-credit records.
Why does the tool limit MSE payment terms to 45 days?
When the supplier is declared as a micro or small enterprise, section 15 of the MSMED Act says the written payment period cannot exceed 45 days from acceptance or deemed acceptance. Confirm the supplier's current declaration and your applicable due date before issuing the order.

Turn a buying decision into a reviewable supplier order

Purchase Order Generator prepares a buyer-issued order with supplier details, items, billing and delivery addresses, expected delivery and commercial terms. Use it to communicate what the buyer intends to order and where it should go. It creates an A4 PDF locally; it does not send the order, reserve stock or confirm supplier acceptance.

Check the practical handoff as carefully as the arithmetic. A correct total cannot compensate for a wrong delivery branch, an ambiguous unit or an omitted specification. References to the quotation and project help people reconcile documents, but the tool does not import those documents or verify that their contents agree.

Separate the people, locations and terms

Choose an approach for your document
Your situationRecommended approach
The buyer's registered address and delivery site differ.Complete billing and delivery addresses separately. The Copy buyer address action copies the current text once; later edits to the buyer do not automatically update those address fields.
An accepted supplier quotation describes the purchase.Enter its reference and compare item descriptions, units, quantities, prices and terms manually. A matching reference number alone does not establish that the order matches the proposal.
Supplier status or payment conditions require special review.Use the supplier's current declaration, not an assumption. The MSE and Udyam fields perform local input checks only; they do not verify registration, determine an acceptance date or manage payment deadlines.

Prepare a synthetic INR 1,250 supply order

The purchase-order-generator-example.json reference contains fictional buyer, supplier and address values for manual entry. It is not an importable order and does not represent a real procurement authorisation.

  1. Enter PO-EXAMPLE-001 as the PO number, Q-EXAMPLE-001 as Supplier quotation reference and REF-EXAMPLE-001 as Project or cost-centre reference. Set Order date to 2026-09-07 and Expected delivery to 2026-09-15.
  2. Enter buyer Example Client and supplier Example Studio using the sample addresses, with Karnataka for both states. Leave GST registration off for both, set Supplier MSE declaration to Not declared and leave Udyam blank.
  3. Copy the sample Billing address and Delivery or service address into their separate fields. Add one Example desk supplies line with quantity 3, unit NOS, rate INR 400 and zero discount; leave HSN/SAC blank.
  4. Set Credit days to 30, Additional charge after GST estimate to 100 and Adjustment to -50. Clear final rounding. Copy the sample payment, delivery, inspection, warranty, general terms and notes; keep supplier acceptance lines enabled and omit branding images.
  5. Select Create purchase order PDF. Download it and compare the parties, delivery destination, dates, three-unit line and INR 1,250 order total with the reference. Inspect any continuation pages as well as the first page.

Expected result. Three units at INR 400 give INR 1,200. The additional INR 100 charge and INR 50 reduction produce INR 1,250. The GST estimate is off and its item column shows a dash. Acceptance lines and 30 credit days are entered document terms, not evidence of acceptance or an independently calculated payment due date.

Check the downloaded result

  • Read buyer and supplier details in their correct roles. Check billing and delivery addresses independently, including branch, recipient and any essential location detail.
  • Compare each quantity and unit with the supplier's proposal. Reconcile line discounts, optional GST estimates, after-tax charges, adjustments and final rounding rather than checking only the grand total.
  • Check expected delivery, credit days and written terms for contradictions. The generator does not calculate a due date from acceptance, verify delivery or check whether different terms agree.
  • Open every PDF page, including the commercial-terms and acceptance sections. The live preview shows only four items; PDF blocks have bounded lines and can end in an ellipsis. Keep the full specification, original quotation and other source records separately.

Troubleshooting

The delivery address stayed the same after changing the buyer.

Billing and delivery are separate values. Copying the buyer address is a one-time action, not a permanent link to that field.

Try this: Update or copy the correct address again and inspect the downloaded order. Preserve a different delivery branch if that was intentional.

Selecting micro/small adds validation errors.

That setting requires a Udyam number in the expected format and applies a tighter credit-day limit. The checks depend on your declaration and are not an online registration lookup.

Try this: Confirm the declaration and payment terms with the supplier and the responsible reviewer. Do not select another status simply to bypass a warning or invent a registration number.

A saved profile did not restore the order.

Save profile stores only buyer details in this browser. It does not save the supplier, line items, copied addresses, commercial terms or image attachments.

Try this: Retain the downloaded order and the underlying procurement information before leaving. Use Clear saved when buyer details should no longer remain on that browser.

Limits and compatibility

Order drafting limits
The interface uses INR and up to 30 lines. GST estimates use the supplier setting and selected place of supply; additional charges and adjustments are excluded from line tax. It does not produce a supplier invoice, proof of payment or a legal determination about an order's effect.
Output and records
PDF generation and optional buyer-profile storage are local. There is no order import, automatic document history, stock integration or supplier messaging. Optional PNG/JPG logo and signature images are limited to 2 MB each; a signature image and printed acceptance lines are not authenticated signing.

Your files and form values are processed on this device. Downloaded copies remain wherever you save them. See how to check local processing and our privacy policy for site data and optional services.

Common questions

Does the buyer's GST checkbox enable the tax estimate?
The supplier setting controls line GST estimation. Buyer registration affects the buyer details and GSTIN validation; it does not independently switch the tax calculation on.
Can I send the purchase order directly from this page?
No. Review and download the PDF, then share it through your chosen channel. The page does not track whether a supplier opened, accepted or fulfilled it.
